What is the procedure for certifying a signature?

The procedure is simple, quick and can be completed in a single visit:

    1. The client visits the notary’s office with a document – this may have been prepared in advance or drawn up on the spot.
    2. The notary verifies the identity of the signatory – on the basis of a valid identity document (identity card, passport).
    3. The signature is provided in the presence of the notary or recognised as the signatory’s own (if provided previously).
    4. The notary affixes a signature certification clause to the document – this includes the date, place, details of the signatory and information on how the signature was affixed.
    5. The document becomes officially certified and may be used in legal transactions.

Can a signature on a document in a foreign language be certified?

Yes – a notary may certify a signature on a document in a foreign language, provided that they are proficient in that language or the document is submitted together with a certified translation. At Karolina Adam’s notary’s office in Gdynia, it is possible to have signatures on bilingual documents certified, particularly for international transactions (e.g. powers of attorney for international matters, documents for embassies, commercial documents).

What are the benefits of having a signature certified by a notary?

    • Certainty and authenticity – a signature affixed in the presence of a notary leaves no doubt as to the identity of the signatory.
    • Evidential value – a notarised document carries greater legal weight, particularly in court proceedings.
    • Recognition by authorities and courts – many institutions require documents certified by a notary.
    • Protection against forgery – it protects the parties against attempts to challenge the authenticity of the document.
